Quotation versus invoice in Nepal
A quotation is a commercial offer: it tells the customer what you propose to supply, at what price, and under which conditions. It is not a VAT tax invoice and should not be used as proof that a taxable sale has already occurred. Once the customer accepts and the supply is made, issue the appropriate bill or tax invoice.
What a useful estimate should include
- Supplier and customer identity, address and PAN/VAT where relevant.
- A unique quotation number, issue date and valid-until date.
- Clear descriptions, quantities, rates, discount, VAT treatment and total.
- Delivery timeline, payment schedule, inclusions, exclusions and acceptance space.

Frequently asked questions
Is a quotation the same as a tax invoice?
No. A quotation is a proposed price and scope before a sale is confirmed. A tax invoice records an actual taxable supply and must follow Nepal VAT invoice requirements.
Should a Nepal quotation show PAN or VAT number?
Showing the supplier's PAN/VAT number helps the customer identify the business and evaluate the VAT-inclusive price, even though a quotation is not itself a tax invoice.
Can I save the quotation as PDF?
Yes. Click Print / Save as PDF and choose Save as PDF in the browser print dialog. Only the clean A4 quotation is printed.
What should quotation validity mean?
It states how long the offered price and terms remain open. It is useful when material prices, exchange rates, availability or delivery schedules may change.
